
What to Inspect on Any Rented Machine Before You Operate It


The machine you just rented has been operated by people you've never met, on jobs you know nothing about, and hauled around on a trailer in between. It might be in perfect shape. It might also have a slow hydraulic leak, a worn strap, or a scrape somebody's hoping you won't notice until you're the one being charged for it.
That's why you walk around a rented machine before you operate it. It takes a few minutes, it catches problems before they turn dangerous or expensive, and it puts you on record about the machine's condition before you're responsible for it. You don't need to be a mechanic to do it well. You just need to know what to look at and why.
Why You Inspect Before You Operate
Reason one: safety
A rented machine has an unknown history, so a fault you didn't create can still be the one that hurts you: a soft brake, a failing hose, a missing guard, a cracked structural part. Catching it in the yard is a minor delay. Catching it mid-job is an incident, and the machine is usually doing something at height, at weight or around other people when it happens.
Reason two: you don't want to pay for someone else's damage
On a rental, damage found when the machine goes back can land on you unless there's a record that it was already there. A few minutes documenting the machine's condition before you operate is what keeps a pre-existing dent or scrape from becoming your bill.
Both reasons point to the same habit: look before you run it, and write down what you find.
The Walkaround: What to Look For Cold
Do this with the machine off, starting at one corner and working all the way around so you don't skip anything.
Under the machine: leaks
Look for puddles or drips underneath and wet, shiny spots on hoses and fittings. A hydraulic or fuel leak is both a failure waiting to happen and a fire and slip hazard, and hydraulic fluid under pressure is genuinely dangerous, so a fresh leak is a stop-and-ask.
Fluids
If you can access them, check that engine oil, coolant, hydraulic fluid and fuel are at proper levels. Running a machine low on oil or hydraulic fluid can wreck it and strand you in the middle of the job, which is nobody's idea of a good day.
Tires, tracks and undercarriage
Look at tire inflation and wear, or track condition and tension, and any obvious undercarriage damage. A bad tire or a thrown track ends the day, and on a lift or a loaded machine it turns into a stability problem, not just an inconvenience.
Hoses, cylinders and connections
Scan the hydraulic hoses for cracks and chafing and the cylinders for weeping or damage. These are parts that fail under load, which is exactly the moment you don't want them to.
Structure and body
Look for cracks, heavy dents or bent components, especially anything structural. Structural damage is a safety issue in its own right, and it's also precisely the kind of thing you want documented so it isn't pinned on you later.
Safety devices and guards
Confirm the seatbelt, the ROPS (rollover protective structure) or FOPS (falling object protective structure), the guards, the backup alarm, the horn and the lights are all present and look intact. These are the things that protect you when something else goes wrong, so a missing one is a reason to stop, not a detail to shrug off.
Decals and the capacity plate
Check that the warning decals and the load chart or capacity plate are present and readable. You can't operate a machine safely to a capacity you can't read, and on a lift or a forklift that plate is the difference between a safe load and a tipped one.
Document What's Already Damaged
Before you operate, photograph any existing damage you find, from angles that clearly show it: dents, scratches, cracked glass, worn tires, missing pieces. If there's a form or a contact at the rental provider, note it there too, so the record isn't sitting only on your phone. Photograph the overall machine and the hour meter or fuel gauge while you're at it, so the starting condition is on record.
When the machine goes back, this is the difference between "that was already there" being a fact and being an argument. It costs five minutes, and it can save you a damage charge, so do it every time, even when the machine looks fine.
The Functional Check: Start It and Test
Once the walkaround's clear, start the machine and test its functions in a safe, open spot before you take it anywhere near the real job.
Controls and functions
Run each function slowly: drive, steering, the loader or boom, the attachment, the auxiliary hydraulics. You want to find a sticky or unresponsive control in an open area, not with the machine loaded or in the air.
Brakes and steering
Test the brakes and steering at low speed before you rely on them. These are the two things you absolutely cannot afford to discover are bad while you're already moving.
Gauges and warning lights
Watch the gauges and warning lights after startup and note anything that stays lit. The machine is trying to tell you something, and ignoring a warning light is a reliable way to turn a small problem into a big one.
Alarms, horn and lights
Confirm the backup alarm, horn and lights actually work. On a site with people moving around, those are how the machine keeps them safe, and they only help if they function.
When Not to Operate It
Some findings mean the machine doesn't go to work until it's fixed or swapped. Stop and call the rental provider if you find:
- An active hydraulic, fuel or coolant leak
- Brakes or steering that don't respond properly
- A missing or damaged guard, seatbelt, or ROPS or FOPS
- A load chart or capacity plate that's missing or unreadable
- A warning light that stays on, or a control that doesn't work right
- Cracks or damage to structural parts
The answer to any of these is to call the rental provider, not to work around it. A machine that isn't right is theirs to fix or replace, and running it anyway moves the risk and the liability onto you. A good provider would far rather swap a machine than have it fail on your job, so make the call.
Ask for the Walkthrough
You don't have to figure the machine out alone. Ask the rental provider to walk you through it at pickup, including the controls, the safety devices and anything specific to that model. Find the operator's manual and know where it is, since it carries the machine's own inspection points and safe operating guidance.
